Tampa Bay & Company can provide a team of reliable, bonded experienced and knowledgeable registration personnel to assist with your meeting on-site. They can perform many general registration assistance duties. Registration personnel needs are politely requested a minimum of 30 days in advance.

The registrars are not to perform any type of lifting, pushing or pulling. If you have heavy items or boxes that need to be moved (over 5 lbs), we can refer you to one of our member temporary agencies who can assist you with that service. In addition, it is required that the location of the registration be air-conditioned and well lit in order for the registration staff to perform their respective duties. Standing for long periods of time is also not permitted, we ask that the registrars are equipped with chairs throughout their scheduled shifts.
Policies and Procedures for Use of Registration Personnel Calculation of Work Hours
Tampa Bay & Company registration assistants are paid sub-contractors of Tampa Bay & Company. Tampa Bay & Company will assume responsibility for payroll and bill your organization for outstanding balance after the conference. The outstanding balance should be remitted within 10 days of receipt. The current fee for registration assistance is $15.45 per hour per registrar. The current fee for a supervisor is $16.95 per hour per supervisor. *Rates are subject to change. Total billed hours are calculated from the time the registrar reports to work until dismissed, including time for instruction, meals and breaks. The registrars are instructed to report to work 15 minutes prior to the scheduled time on the first day, unless otherwise instructed by the meeting planner.
Please note that your organization will be billed for this 15 minutes per registrar. Registration personnel will be paid to the quarter-hour after a minimum of four hours each scheduled day. Registrars working more than 40 hours per job will be paid overtime at a rate of time-and-a-half. That overtime rate will be charged to your organization. Registrars working on a holiday are also paid at a rate of time-and-a-half.
A "working" supervisor will be assigned for each group of five registrars working a convention or meeting. For example, five registrars = four registrars and one "working" supervisor. The "working" supervisor works in an assigned position and manages their designated team of personnel. For jobs requiring 10 or more registrars, the meeting planner may opt to hire one "full-time" supervisor. The "full-time" supervisor manages all personnel hired through Tampa Bay & Company, filing in where needed for breaks and peak periods. The current fee for supervisor assistance is $16.95 per hour, per supervisor. *Rates are subject to change.
Travel & Parking Fees
Parking charges will be billed on the final invoice. If a registrar is scheduled to work a conference at Saddlebrook Resort or in a different county (other than Hillsborough County), they will be paid a one-time travel expense of $10. This $10 travel expense will be added to the final invoice. If the registrar works in that area that requires a parking charge (typically in the downtown area or the Marriott at the Airport), a $9.50 per day parking fee will be added to the final invoice. This fee is an average of parking fees (downtown or airport) and will apply for all hotels, the Tampa convention Center and other Attractions that require a parking fee to be paid. There are no exceptions or variance to this parking fee.
Breaks and Meals
A break of 15 minutes must be given during each four-hour work period. Any person working five hours to six hours or more must receive a meal break of 30 minutes (minimum). This is in addition to the 15-minute break. If registrars work seven (7) hours or more a day, they MUST receive two (2) - 15 minute breaks and a meal break of at least 30 minutes. If registrars work nine or more hours in a day, they MUST receive an additional 15 minute break. In other words, they must receive (3) = 15 minute breaks and a meal break of at least 30 minutes.
Please ensure that you have adequate coverage to provide breaks for the registrars. When more than one registrar is on duty at the registration desk, breaks and meals should be staggered to provide continual coverage.
